Ensure Cardholder Information Accuracy With File Maintenance Log (SSR080)

SHAZAM® produces helpful reports that can be used to track maintenance items that impact the data that resides on SHAZAM Access, along with the success or failure of performed maintenance. These reports provide valuable information, and we encourage your financial institution to monitor them daily.

One daily maintenance report is your File Maintenance Log (SSR080). This report is a key report you can reference to ensure your cardholders’ plastics information is up-to-date and accurate on the SHAZAM system. This report lists the data in each plastics maintenance request message and the response code associated with each request regardless of how the maintenance was performed.

What is Plastics Information?

All financial institutions that issue cards maintain cardholder information with SHAZAM, including the cardholder’s name, mailing address, phone number, social security number and card expiration date. This type of data is called plastics information. Plastics information drives the card ordering and reissue process and is also vital to help support the success of other products and services, such as SHAZAM’s Fraud Management system.

How is Plastics Information Provided to SHAZAM?

Plastics information is added and updated either by performing maintenance in SHAZAM Access or entering it within your core banking software and uploading it to SHAZAM via a batch maintenance process or real-time interface. The SSR080 report provides you with details of performed maintenance, including whether it’s approved or rejected.

Why Do Maintenance Items Reject?

Regardless of how the maintenance is performed, the formatting of that maintenance must meet SHAZAM specifications. Beyond general formatting errors, plastics maintenance can also fail if information is missing in required fields or fields contain data that’s not allowed. For example, if numeric values or special characters are entered into certain data fields, the maintenance will fail and need to be corrected.

How Can I Identify Rejected Maintenance Items?

When plastic maintenance fails, the SSR080 report will provide codes that will help you identify the exact reason for each failure. You’ll want to monitor the report the day after maintenance is performed. If there are failed items, use the codes to determine what actions to take to correct them. There are three main codes in the report that help identify maintenance errors. The codes are RSP (response), REJT (reject) and PLST (plastics). When maintenance is successful, all three code fields will contain double zeros (00). If any of those three fields contain something other than 00, reference the codes to identify the issue. A list of these codes can be found on SHAZAM Access > SHAZAM Resource. All plastics maintenance items that fail will be displayed at the top of the report, followed by items that were successful.

It’s important to note that the SSR080 report shows both successful and failed plastics maintenance items. The report should be used to analyze both.

Monitor your successful maintenance items to ensure newly added or updated cardholder information is accurate. For example, when ordering a new card for a customer, ensure you enter the correct mailing address. SHAZAM will send the customer’s card to the mailing address on file, so it’s important to use the report to ensure the accuracy of the information you provide.

Monitor your failed maintenance items and use the codes to identify and correct the issues.
